Terms & Conditions
1. SCHEDULE
Number of Sessions
One-on-One Lessons and Group Classes under the standard annual course fee covers 36 sessions per year (or 9 sessions per term) and may include rehearsal(s) and concert(s). Please refer to our website for dates. If you are also interested in extra sessions to keep the flow going – like holiday lessons or music workshops – please email contactus@passionmusic.co.nz.
a. The Start
Placement. Unless you’re our continuing student, placement of students who have had previous lessons elsewhere may be dependent on a short interview / discussion with parents/students and/or review of past work done and/or audition. A place in the schedule may be offered only after this.
Enrolment Priority. A student’s place in the schedule is awarded on a first-come-first-served basis, confirmed via full payment of fees. Due to limited places, priority is given to enrolments confirmed by full payment of annual fees. In respect of those who have made payment, messages from prospective students stating the intention to enrol but not confirmed via full payment of fees does not guarantee a reserved place in the schedule.
b. Continuity
Likewise, on-going reservation of your place in the schedule for the next period (for example, term or year) is confirmed through full payment of fees for the new period paid for. Text or email messages from students stating the intent to continue may not necessarily mean the place is reserved. Please do not turn up for lessons without paying as tutors will not be conducting lessons for students with outstanding fees.
Drop-Off and Pickup
Students should be dropped off and picked up on time. Understandably, tutors are fully focused on teaching and will not be in a position to keep an eye on children before and after the lesson; it is the parents’ responsibility to take care of their children before and after the lesson.
2. EXPECTATIONS
Students are expected to be committed to: (i) regular attendance to maintain continuity, (ii) regular practice to ensure steady progress, and (iii) participation in performances. Students in group classes should engage in regular practice to keep with the general pace of the group.
3. LEARNING MATERIAL
The cost of books and other learning material is not included in your tuition fees. You will usually be advised what the amount of this is before the first day of class. This is typically between $20 – $30 per course enrolled for. Should there be any other costs as things progress, you will be advised when the time comes. If a particular book is not in stock, it will need to be paid for upon order. In any case, learning material will be passed to students only after – not before – it has been paid for. Requests to photocopy, for example, ABRSM material will not be entertained.
4. BYO INSTRUMENT
Except those coming to us for piano or unless otherwise arranged, you will need to provide your own instrument. If you don’t have a suitable one, please email us for help and advice before purchasing or hiring. Students should aim to have their own instrument as soon as possible. As they advance along in their musical journey, it is important to develop a familiarity with their own instrument.
5. BEYOND LESSONS
Aside from lessons, students are encouraged to be involved in concert performances, competitions, examinations, mock exams, workshops, and/or camps. These are a great part of our programme; they give students something to work toward and build confidence in students.
6. PHOTOS & VIDEOS
Parents are encouraged to take photos and videos of their child(ren’s) performance so they have a memorable record of the musical progress and development over the years. However, photos and videos are prohibited in the studio during lessons.
7. STUDENT AFFAIRS DEPARTMENT
If you have any concerns regarding the progress of your child, please email us. Our Student Affairs Department is here to help, and will see to them on your behalf. Any questions regarding tutors, exams, concerts, and other matters can be directed here.
8. COMMUNICATIONS
Email
The official and preferred means of communication is in writing via email to contactus@passionmusic.co.nz. Even if you are emailing a particular tutor, please cc your email to this address so that the matter is on record with all parties. Phone calls or text messages may be needed if it’s urgent, but please follow with a quick email to the above address.
9. MAKE-UPS AND REFUNDS
- There will be no make-ups for sessions missed by students as the spot in the schedule has already been blocked out exclusively by them for the period. Enrolling for lessons for a specific day and time in the studio schedule is like buying a movie ticket for a specific day and time, and there’s no refund for sessions missed.
- There is also no provision for the “swapping” of lessons between family members. Just as at school or any other educational establishment, families do not send another family member to take the place of a student who is absent, the same principle is upheld here as well. Each student is deemed a unique individual, and another family member may not take lessons missed by another. By the same token, fees are strictly not transferable from one family member to another.
- For one-on-one students, however, if you let us know weeks (or months in advance, if possible) about your vacation or school camp and such, we can give the tutor a heads-up and try to get the tutor to agree to do make-ups for lessons missed.
- To be fair to students, if it is your tutor who is unable to conduct a class, then either a relief tutor or a make-up session will be arranged so that you do not miss your lesson.
- Fees paid are strictly non-refundable except by reason of death or terminal illness.
10. HEALTH MATTERS
- Please check in with the NZ Covid Tracer app before you enter in.
- All students must wash their hands with antibacterial soap in the studio bathroom before touching anything.
- If you are unwell (e.g. cough, cold, fever – no matter how mild), the right thing to do is stay home. It is in your best interest to inform your teacher as soon as possible so that he or she can conduct your lesson online at the time of your lesson – or another time mutually agreed upon. If you show up to our studio and are found to be coughing or sniffling, you will be sent home immediately and there will be no make-up arranged. All parents would appreciate that no exceptions will be made; please help us assure that our studio is always a healthy environment to be in. Thanks for your kind understanding and cooperation in this.
11. PROMOTIONS
We may forward you information about our promotions, specials and discounts by email or text message. If you do not wish to receive this, just reply “unsubscribe” to opt out of the opportunity.
12. TUITION FEES
To facilitate the smooth operation of matters, both the enrolment fee and tuition fees for lessons must be prepaid before a student’s enrolment for a slot in the schedule is confirmed. For new enrolments, a confirmation email with details will be sent out within 3-5 business days after payment is received. Continuing students may deem their place with Passion Music renewed immediately upon payment for the new period.
There’s a wide range of tuition fee packages available and huge flexibility in payment options to suit different ones.
A. Early Bird Tuition Fee Specials
Students who pay in full by the Early Bird Deadlines for each period as published on our website will be awarded a rebate on the next invoice for tuition fees for the following next period.
a. This rebate on tuition fees will be applied specifically to tuition fees – not books nor instruments nor exam fees and others.
b. The rebate is only on tuition fees for the next period and will be forgone if the student is not renewing for the next period – for example, the student has completed his music education at the end of his musical journey with us.
c. The rebate cannot be transferred from one student to another even within the same family. No exceptions will be made.
Early Bird Specials close as soon as the same slot in the schedule is filled by another paid enrolment or by the Early Bird deadline for that period – whichever first. Check our website for early bird deadlines for each period.
B. Regular Tuition Fees
Regular tuition fee rates kick in the day immediately after the early bird deadline.
Payment Instructions
Just email us the tuition package you are enroling for and we will send you an invoice with payment instructions for internet banking.
Please do NOT pass any payments to tutors as they are not authorised to receive payments. Our operations are centralised, so all payments should be made directly to Passion Music Limited. We are not responsible for any monies passed through tutors.
13. JOINING
A. Enrolment Fee
There’s a one-time Enrolment Fee of $69.90 per student per course.
- Validity
Your enrolment fee is valid for 90 days from date of payment. This gives you the flexibility of enrolling first to take advantage of the current discount (if any) and decide within the next quarter of the year which course/programme to take. However, it’s best to decide before the Early Bird Tuition Fee Deadline for that period to enjoy those discounts as well.
- Waiver/Discount
There is a waiver if the same student enrols for additional courses at the same time. And if enrolling at a later time, the one-time Enrolment Fee for additional courses is just $29.90 per course.
- Family Members
Immediate family members of a current – not former – student also get to enjoy this rate of $29.90 per student per course. “Immediate family” includes dad, mom, daughter, son, sister and/or brother (not cousins, in-laws, nor outlaws and others).
B. Rejoin Fee
Because we understand that there are seasons – like summer – when students may not be taking lessons on a regular basis, we have an allowance for students to take a hiatus from lessons for up to 90 days. If, however, a student has been away for more than 3 months and less than 12 months, there is a Rejoin Fee of $10.90. Beyond one year, the student would have been taken off the current student base and will need to enrol again as a new student with the full enrolment fee of $69.90.
Enrolment and Rejoin Fees are strictly non-refundable. They are also not transferable from one student to another.
14. RELEASE
Upon enrolment, it is agreed that photos or videos of students (if any) may be used for current or future promotional purposes and there will be no monies or consideration or reimbursement for this. Any exceptions to this must be given in writing at the time of enrolment.
15. TUTORS
Passion Music Limited is registered with the Police Vetting Service for checks on tutors who work in collaboration with us. While we make efforts to have on board only tutors who have been vetted, we take no responsibility over anything untoward that might occur. If you have any concerns regarding a particular tutor, please let us know immediately.
16. INTEGRITY
As a matter of integrity, students/players are expected not to take private lessons with the tutor or the tutor’s immediate family for a period of 365 days from terminating sessions with Passion Music Limited.
17. TERMS AND CONDITIONS
From time to time, we make changes to our information, policies and procedures in an effort to improve our products and services. We reserve the right to update our Terms and Conditions accordingly, and encourage you to review this page periodically for the latest policies and procedures at Passion Music. By enrolling with Passion Music Limited, parents/caregivers and students/players agree to the above terms and conditions.
